Front Office Assistant/Receptionist

Auxilium Psychological Services is a team of 20+ mental health clinicians focused on serving the needs of Southern Indiana Residents In Clark, Floyd, Scott, Harrison and Washington County. We are conveniently located off Charlestown Road near the I-265 exit in New Albany, Indiana. We aim to expand what limited resources are available in the area and are committed to providing excellent care. We are focused on serving children, adolescents, and adults. Where possible we seek to serve using evidenced-based care, and we have providers that are comfortable with the integration of Christian faith and psychology.
Qualifications:
- Bachelor’s degree or equivalent experience of 1-3yrs with high school diploma (Desired)
- Must have exceptional customer service skills and be an effective communicator (written and verbal), with ability to respond to a variety of sensitive situations calmly and with tact and professionalism. (Required)
- Experience in medical/insurance billing. (Strongly preferred)
- Must pass background check (Required)
Job Description:
- Answer calls and maintain a professional, attentive and compassionate attitude regarding the mental health needs of potential clients. Provide an overview of options for services within practice. Gather pertinent information for new inquiries (name, DOB, insurance, presenting issues) and complete internal waitlist form as appropriate. Respond to requests for services via the email info line and on the behalf of clinicians who forward direct requests.
- All insurance should be verified and communicated to clinical staff and patients. Communicate and note all financial obligations to the patient for each procedure. Receive payment and credit all accounts properly
- Maintain large intake waitlist for group practice and for specific clinicians based on preferences and provider specialties. Inform clients of expected wait times and offer resource lists for other area providers as appropriate. Provide clinicians with information on possible new intakes from waitlist when requested.
- Schedule clients as specialties, preferences, insurance options, and availability allow. Call client to establish intake appointment and create client record in electronic medical record (EMR) system. Email new client with EMR portal link including appropriate intake documents. Track intake records for completion and remind new clients of initial appointments. Gather contact information of parents/guardians for minor clients. Check insurance (commercial and Medicaid) eligibility/benefits prior to intakes via third party clearinghouse and the state portal. Call commercial insurers to clarify benefits as needed.
- Assist current clients in cancelling/rescheduling appointments and with various customer service needs including insurance questions, technical support for telehealth and portal access, updating payment info, etc. Assist clinicians with scheduling changes and in making calls to clients as requested.
- Maintain confidentiality of potential and current clients. Adhere to HIPPA regulations and obtain releases of information as needed. Scan paper documents and upload into EMR as needed. Respond to various external medical records requests.
- Respond to routine insurance companies requests (every 90 days) to verify individual clinician data for directories.
- Assist clinicians in the tracking of authorizations for continued service and referrals to other providers.
- Serve as liaison with external billing service and contact current clients as needed to help resolve insurance and billing issues.
- Serve as administrator for external phone service and update as needed. Train new staff on how to use EMR system and office phone app.
- Attend weekly team meetings and keep written notes.
This position serves under the supervision of group practice owner(s) and routine meetings (weekly or as needed) are required to discuss relevant issues.
